Online Volunteer Registration
GEMS.pro's workforce registration page contains all the needed administrative fields to collect the right information, on the right volunteer to be able to assign the right shift. Registration pages can be unique for any sub-type of volunteer! With a number of core sections, the customized registration page provides host administration with a form that can be as broad or specific as needed. The administrative tables can be adjusted to populate the e.g., interests, dynamic skills, and availability time frame options that are presented in the registration fields.The registration page provides the foundation for the Workforce Plan and the Workforce Scheduling modules in GEMS.pro.
Volunteer Administration
GEMS.pro’s workforce administration pages provides a number of tools to be able to find, monitor and efficiently manage volunteers as they advance through the stages of registration and then on through to workforce scheduling.
The administration page contains a statistic table complete with the numbers and percentages of volunteers, each in the various states of processing; along with a series of search parameters and filters to effectively locate individuals, oversee and manage the profiles.
Volunteer Medical Incident Registration
Although, not typically used for Volunteers, GEMS.pro Medical provides all the necessary registration tools to keep track of games-time medical incident data for any registered individual. GEMS.pro offers a secure, easy to use and stress-tested solution that ensures consistency across the entire platform.
Double Registrations
The workforce module has an administrative lookup page where double registrations are monitored and tracked. Using a number of system filters you can easily find any individual who has registered in your system more than once.
Workforce Planning
The workforce plan tool in GEMS.pro enables administrators to enter a detailed scheduling plan for each functional area of a host organization. Simply put, this tool allows you build out the foundation to define your volunteer scheduling demands (e.g., who, what, where, when and how many?) the workforce planning tool can be used in a number of different ways to support the division of labour amongst host society work committees.
Workforce Scheduling (Shift, Location, Task, Committee)
The Workforce scheduling page is used to schedule the volunteers on the individual shifts. This tool combines the information in the workforce plan with the information entered by the volunteers on their registrations, this way the system is able to find eligible volunteers for the shifts. Scheduling volunteers is intuitive with the built in colour coding schemes and onscreen filters. Use the workforce scheduling tool to easily find the right people to do the right volunteer positions!
Workforce Self-Scheduling
Upon completion of the registration form, volunteers can have access to the GEMS.pro Self-Scheduling functionality. When logged into the system, the volunteer will first see the My Profile dashboard and they can click on the applicable registration section for review or further editing.
The Self-Scheduling tool gives the volunteer the ability to adjust search filters to find vacant shifts that best align with their responses in the skills, availability, and interests sections of the registration page.
This tool is designed to alleviate the workload by pushing the task of workforce scheduling out to the volunteer – the person who knows best what they’d like to do, where and when!
Workforce Reports
GEMS.pro comes equipped with a number of workforce related reports designed to produce Microsoft Excel or web ready to print extracts. Whether it be a workforce plan report or volunteer schedule extract, the system can be used to produce consistent reporting outputs that meet the demands of a busy host organization.
