Medical Management
Medical services are an essential part of games and event management. GEMS.pro’s medical module enables a seamless online reporting solution to register, track, and statistically report on all medical incidents that occur during the games.
Features
Incident Registration
When a primary visitation is initiated the medical staff enters the information known about the person in question. This can be the person’s accreditation badge ID number (if the accreditation badge is available) or the person’s name (if the accreditation badge is not available if e.g. the incident has happened during competition and the accreditation badge does not arrive with the person).
The module then produces a list of all persons who match the information entered and displays the picture used for the accreditation badge with each person (if accreditation badge ID number was used only one entry will appear on the list). When a person on this list is then clicked a new primary incident is opened.
The Incident page shows name, accreditation badge ID number and picture of the person in question and a button that when pressed opens a new window with all the medical information registered for that person.
The medical staff can then register a short description of the incident, date and time of the visitation, type of incident (the incident type is used in the statistics and the list of incident types is maintained by Administration in an administrative table), who made the visitation, where the visitation was made (selected from a list maintained by Administration in an administrative table), and further information about diagnose, treatment and plan for further treatment.
Each incident is issued a unique number for tracking and follow-up.
Only users who have been issued the role of medical personnel can open the incident registration page.
Related Incident Registration
When a follow-up visitation is initiated the medical staff enters criteria known about the primary incident that has to be followed up on (e.g. accreditation badge ID number, the person’s name, the date or type of the primary incident). This produces a list of incidents meeting the criteria and when medical staff selects the appropriate incident the primary incident is opened with a list of previous follow-up incidents to assure that the right primary incident has been chosen. From here the medical staff can open a new follow-up incident
Incident Status
When registering a medical incident, it is necessary to include the details of the incident status e.g., the state in processing of the patient’s treatment. Also used in the statistical report.
Incident types
Also used when processing a medical incident, it is necessary to include the details of the incident type e.g., cutaneous, musculoskeletal. Also used in the statistical report.
Medical History
On the medical incident registration page, there is a button that when clicked will open a pop-up window containing all the medical information that the patient registered in their registration page. This window is automatically available to the triage or treating medical practitioner.
Out-of-play Tool
If the treating medical practitioner deems it necessary to remove an athlete (for medical reasons) from competition, then the system can automatically send an email to the mission staff medical lead, informing the team leader of the athlete name, sport, reason for being removed from competition and the name of the treating practitioner.
If an athlete’s competition status has been adjusted to “Out of Play”, then the athlete will show up on the “Out of Play” report. This report provides Mission Staff with the information they need to know whether an athlete is active or out of play. A report can be easily produced displaying a list of all athletes who have been taken out of play. The default will produce a list of athletes from all contingents and all sports. You can choose to adjust the sort filters to display the results by Name or competition status.
Statistical Reports
The system can produce various reports with statistical information about the incidents registered in the system. These reports can be useful to the delegations, but they can only produce them for the incidents from their own delegation.
There are three types of reports to choose from; Incident type per day, Incident type per sport, and Category per sport.
- Incident type per day: Allows you to see how many incidents of each incident type have occurred each day as well as an accumulated total of each incident type.
- Incident type per sport: This report allows you to see how many incidents of each types occurred within each sport for the duration of the Games.
- Category per sport: This report allows you to create a report based on the category of the incidents.
You will then be able to organize your reports even more than the ones shown above. You can choose to see only the primary incidents, only the related incidents, or all incidents. You are also able to create reports for the specific contingents. You can organize the report however you feel by choosing the appropriate selection from the drop down lists.
