Accreditation Management
The accreditation module is a seamless and intuitive module used by all registrations in GEMS.pro to set up and control access rights and print accreditation badges for the four individual types.
Features
Custom Design and Layout
GEMS.pro provides a wide choice of possible layouts of accreditation badges. The final layout is determined by the host organization and set up in cooperation with the GEMS.pro Team as a part of the contract.
Among the information that can be chosen to be included on the accreditation badge is:
- Color coding (can be set individually for each type and sub type)
- Picture
- Name
- Accreditation badge ID number
- Barcode containing accreditation badge ID number
- Security locations/venues
- Security zones
- Security privileges
Colour Coding Options
As part of the embedded security within an accreditation, GEMS.pro provides a number of options with the administrative setup whereby the host organization is able to apply a colour coding scheme based on the individual type requiring a badge to access a specific location, zone, or privilege. The universal colour language can be applied to each type and or subtype to arrive at numerous possible colour coding schemes designed to unassumingly grant or limit access.
Access Control
Access rights in GEMS.pro are divided into three core areas of access control. These areas relate to a Location or Venue; a Zone (defined area within a location or venue); and privileges. These three areas of access control can be setup in GEMS.pro using the corresponding administrative tables and related pictographics.
Easy Badge Printing
GEMS.pro does not provide nor require specialized badge production equipment. By using standard webcams, color printers and laminating equipment GEMS.pro provides a complete solution for Access, Accreditation and the production of Badges.
On the accreditation badge printing page a search can be made on the same set of criteria as the administration page as well as on some grouping criteria - like birth month or first letter of last name. When the search is made individuals who meet the entered criteria are listed and accreditation badges can be printed for all listed individuals in one batch or one at a time.
The grouping criteria can be used as a tool when pre-printing e.g. participant badges. If the accreditation stations have signs saying A-D, E-H, etc. and the participants are asked to go to the accreditation station with the first letter of their last name the accreditation badges can be printed accordingly.
If a search is made for all participants from delegation X, First letter A-D and all badges are printed then this set of badges can be ready at the accreditation station when delegation X arrives. The same could be done with birth month or other letter groupings.
Arrival Registration
The accreditation module keeps track of individuals who have been issued their accreditation, thus monitoring who has arrived at the games From the arrival registration page, pictures can be uploaded and badges can be printed for the individuals listed on the page (e.g. if a picture has not been uploaded and the badge is not pre-printed). The arrival registration page could be the primary page used at the accreditation stations.
Identification Verification
The accreditation module has can register that the identity of an individual has been confirmed. The page automatically tracks who did the verification and the time the verification was done.
When the individual has been identified, administration registers up to two types of identification (type and name) and the system archives this information as well as the user’s login ID and the time of entry.
The page can also be used to retrieve information about already executed verifications showing the ID information and the verifying users login ID and time of the verification.
Accreditation Administration
Searches can be made on a set of criteria (e.g. person type, gender, committee (for volunteers), delegation and sport (for participants), company (for guests) and all individuals who meet the entered criteria are listed as well as a listing of all access rights.
When the appropriate access rights have been chosen, administration has two options:
- Set the chosen access rights for all listed individuals in one operation
- Choose one or more of the listed individuals and set the chosen access rights for these individuals in one operation.
The accreditation process is made easier using the GEMS.pro accreditation module. From designating granting access rights, to printing badges, this effective tool does it all!
